$20.00 - $23.00/hour; direct experience highly considered. Employment Type:
Full-time Responsibilities Provide clerical and administrative support to the lead Community Manager(s) and serve as liaison to homeowners, vendors, board members, committee members, and staff at the CSSC and branch office. Complete digital and physical administrative tasks for multiple properties, including preparation of governing documents and ARB (Architectural Review Board) application processing; receive and sort mail/packages to record and distribute to the correct recipient. Address inquiries and resolve concerns with homeowners, management, and vendors within 24 hours. Assist owners with the Association website for access to rules, governing documents, minutes of meetings, communication on community projects, and newsletter distribution. Maintain, update, and organize property unit files within the designated portfolio. Assist the lead Community Manager with on-site inspections as necessary, drafting hearing letters, researching repair quotes, updating work orders, and sending annual meeting notifications. Assist with bulk mailing and financial statements, and communicate the results of hearings to owners within the time frames set by state statutes or governing documents as needed. Process accounts payable, including proper coding, recurring/autopayments, researching past due bills, check requests, and obtaining signatures. Create reports (e.g., landscape, emergency work orders, delinquencies, and violations) from the management software and mailing system. Work cross-functionally with other departments, communities, and Associa communication portals to ensure payments, flyers, and newsletters are properly posted. Engage in Associa training including Associa University webinars, vendor-hosted Power Hours, and company incentive programs that embody the Mission and Values of the company. Other duties as assigned.
Qualifications
Proficient in Microsoft Office (Word, Excel, Outlook) and general computer skills. Knowledge of communities/property/real estate and homeowners associations. Understanding of the role of the association board, the Community Association Manager, and how they interface with homeowner requests. Excellent business communication skills (grammar, structure, punctuation). Knowledge of conflict resolution techniques. Professional communication skills (phone, interpersonal, written, verbal). Professional customer service skills. Self-motivated, proactive, detail-oriented, and a team player. Time management and prioritization skills.
