The student administrative assistant supports the ICIAM Secretary in several ways 45% - Office support

Scheduling meetings, sending e-mails to the Board, updating the ICIAM website, and archiving meeting documents and other information 20% - Event support

Preparing documents, collecting RSVPs, and making voting arrangements for Board meetings 20% - Membership support

Updating the membership directory Answering member questions 10% - Social media presence

Posting about ICIAM conferences and events, the Dianoia newsletter, featured research, and member society events on X 5% - Other duties as assigned by the ICIAM Secretary

Required Qualifications

Experience with Microsoft Word. Preferred Qualifications

Previous office experience. Experience with updating websites and preparing social media posts. Experience with preparing Qualtrics surveys. Experience with the Microsoft 365 Suite.

Position Overview

The ICIAM student administrative assistant provides general office support and assists the ICIAM Secretary with scheduling meetings, updating the ICIAM website, sending e-mails to the Board, preparing documents for Board meetings, maintaining the membership directory, answering member questions, archiving information, and maintaining a social media presence. The estimated work schedule is 10-20 hours per week. Hours may vary depending on time of year. The availability to work consistently Monday - Friday is preferred. The final work schedule is to be discussed and agreed upon by the successful candidate and the supervisor. This position will work 100% on site and report to Prof. Suzanne Shontz.

Per the State of Kansas, student employees may hold concurrent appointments not to exceed maximum appointment and hours worked levels. However, concurrent student appointments must be of matching FLSA designation (exempt/salaries or non-exempt/hourly).

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are

not

eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
