Job Summary/Basic Function: Coordinates all staff responsible for event services coordination and oversees daily operation and communication with key event partners. Also leads team members in the training and efficient utilization of reservation and diagramming software.

Level Scope: Provides immediate supervision to a unit or group of operational or technical employees. Sets and delegates day-to-day tasks to achieve operational objectives. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Problems typically involve a single area, process or constituent group. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions: •Coordinates, collects, organizes and distributes information from event and conference planners and staff for custodial and set-up crew, audiovisual, parking and security, evening and weekend managers, and others relevant to the event planning and production process. •Meets with VIP and major event clients to determine needs and provide assistance in the planning stages of each conference and event. •Determines appropriate fee schedules and/or negotiates rates charged from multi-tiered fee schedules. •Develops and implements procedures and standards for the venue. •Trouble-shoots issues/challenges that arise with the software on behalf of the department. •Prepares reports for facility usage optimization, event and customer summaries, invoice reports, assesses event evaluations and incorporates suggestions into future planning. •Explains and clarifies, Boise State & State of Idaho policies, procedures and laws to customers and staff including restrictions, limitations, and customer obligations regarding facility use •Provides leadership and management of the units under the supervision and coordination of his/her chain of command. •Includes the hiring, coaching, and termination of direct reports. •Manages employees' scheduling, work assignments, communication, and personnel development. •Evaluates employee performance, gives regular feedback, and conducts annual performance reviews. •Leads a unified team for the entire unit, assisting with communication, team building, professional development, incentives, and compensation review programs. •Ensures customer service for the entire campus community, as well as the general public. •Monitors work activities to ensure compliance with policies and procedures. Makes recommendations for changes and improvements to existing standards, policies, and procedures. •Manages workflow and productivity of personnel to ensure that the needs of the department and campus community are met. •Design educational staff training modules that include detailed job orientation at the start of employment as well as through regular staff meetings and ongoing training to ensure regulatory compliance. •Responds to Campus's unplanned events and emergency calls within 30 minutes. •Lead and motivate part-time security staff in a high-stress environment. •Work irregular schedules, including nights, weekends, and holidays. •May perform other duties as needed.

Knowledge, Skills, Abilities: •Ability to make independent decisions in the best interest of the facility/department. •Knowledge of Risk Management policies, procedures and principles. •Ability to make quick, rational decisions. •Working knowledge of event scheduling methods, facility use agreements, event planning process and food service management. •Ability or capacity to recruit, hire, train, mentor and evaluate student and full-time staff. •Organization and coordination of event staff and event logistics. •Must have computer skills and understanding of software computer systems and Google applications. •Excellent communication skills to work. as a high level customer service representative for event patrons. •Experience managing budgets. •Knowledge of or experience with supervisory role. •Ability to coordinate with outside partners (police, fire, EMS, contracted vendors).

Minimum

Qualifications: Bachelor's Degree or equivalent experience.

Salary and Benefit

s: Salary is $62,129.60/yr. Boise State University provides a best-in-class benefits package, including (but not limited to):
