Associate Research Administrator

Location: Hybrid - USC, DMC Building (3620 McClintock Ave, Los Angeles, CA 90089) Schedule: Full-time, 37.5-40 hours/week (M-F, 1-2 days onsite) Pay Rate: $45.00/hour Target Start Date: ASAP - March 31, 2025 Dress Code: Business Casual

About the Role

The USC Price School is seeking a detail-oriented and highly organized Associate Research Administrator to support faculty with both pre- and post-award research administration. This role will be responsible for proposal preparation, grant account management, and ensuring compliance with University and sponsor regulations. The ideal candidate will be proactive, adaptable, and comfortable managing multiple projects in a fast-paced academic research environment.

Key Responsibilities Assist with preparation and submission of grant and contract proposals to federal, state, industry, and other funding sources. Prepare budgets and gather supporting documents to ensure complete, accurate applications. Review proposals for compliance, accuracy, and adherence to sponsor and University guidelines prior to submission. Serve as liaison between faculty, University central offices, and funding agencies. Support Just-In-Time (JIT) requests, award setup, and review of Notices of Award (NOA). Assist with data tracking, reporting, and maintenance of sponsored projects and research expenditures. Provide post-award management for assigned research accounts, including monitoring expenditures and coordinating project expenses (e.g., salary, travel, subcontracts). Maintain compliance with sponsor and University research administration policies and advise faculty/research staff accordingly. Contribute to the development and maintenance of a sponsored projects database and generate status reports as needed. Provide Research Office coverage and perform other duties as assigned. Qualifications

Education: Bachelor's degree (or equivalent combination of education and experience). Experience: 3+ years in grant/contract administration or research administration. Strong project management and organizational skills. Budgeting and financial management experience, including grant-related budgets. Knowledge of federal, state, and institutional research compliance requirements. Excellent written and verbal communication skills. Proficiency with MS Word, Excel, PowerPoint, and Adobe Acrobat. Ability to work independently as well as collaboratively in a team environment. Experience preparing and submitting grant applications preferred Additional Details

Work Hours: Flexible, but must align with core business hours (8:00 AM - 5:00 PM). Parking: Contingent worker responsibility; average cost ~$130/month. Interview Process: 30-minute virtual interview via Microsoft Teams.
