Overview
Human Resources Generalist role at University of Chicago - Institute for Climate and Sustainable Growth (ICSG). This position supports HR operations and academic hiring processes, collaborating with faculty, staff, and leadership while ensuring compliance with University policies. Responsibilities
Provide HR support for unit employees, including recruitment and hiring, onboarding, terminations, FMLA requests, payroll inquiries, professional development, visa processing, employee relations, and engagement. Manage end-to-end recruitment processes: job postings, candidate screening, interview logistics, reference checks, offers, and orientation; draft templates and routine offer letters. Maintain HR data and records; solve straightforward problems using standard procedures. Develop tutorials and provide training on timekeeping processes and best practices. Coordinate employee training and development programs to enhance capability and retention. Support performance management with tracking and reporting of key metrics; assist with HR policies and procedures development and improvement. Prepare and submit HR and academic staffing reports; ensure adherence to federal, state, and university policies (EEO compliance and affirmative action goals). Partner with cross-functional teams to foster team culture and employee engagement; act as a resource within the HR team for innovative solutions. Back up the HR Manager as needed; support end-to-end academic hiring for instructional professors, research staff, and postdoctoral scholars; ensure compliance with academic hiring guidelines and timelines. Draft offer letters and manage appointment documentation with the Social Sciences Division, Physical Sciences Division, and Harris School; assist with appointments, promotions, and policies in absence of the HR Manager. Stay current with trends and regulations in academic hiring; assist in audits and assessments of HR and academic operations; counsel employees on benefits and compensation with data analysis support. Provide labor relations support and address grievances and complaints. Perform other related work as needed. Qualifications
Education : Minimum a college or university degree in a related field. Preferred Bachelor’s degree in human resources management, organizational development, or a related field. Experience : 2-5 years of work experience in a related discipline; progressive HR generalist experience with a focus on hiring in higher education, corporate, or government settings; background in academic hiring, including recruitment, visa sponsorship, and appointment processes. Technical Skills : Proficiency with MS Office; experience with HRIS and applicant tracking systems (Workday preferred); experience with organizational chart software or web-based systems; strong knowledge of HR principles and employment law. Preferred Competencies : Professional and positive communication; collaboration and customer focus; ability to work independently and in teams; strong analytical, detail-oriented, and confidential approach; comfortable with fast-paced environments and ambiguity; knowledge of current hiring trends and best practices. Working Conditions
Standard office environment with occasional extended hours during peak hiring periods. Hybrid work schedule available after initial hire and training. Application Documents
