CUSTOMER SERVICE REPRESENTATIVE

Mays is seeking a Customer Service Representative in Indianapolis, IN. The selected candidate will report directly to the Customer Service Manager. The candidate will be responsible for processing customer orders, locating product, entering purchase orders into the system, performing administrative duties, verifying product specification including pricing, packaging, and delivery. This candidate will also research products, troubleshoot, track shipments and make necessary changes; working closely with sales, purchasing, the warehouse, and finance and accounting departments. This candidate will possess knowledge of customer service, administrative applications, and sales.

The selected candidate will also provide product and service information and resolve customer complaints by pinpointing problems; offering solutions, corrections, or adjustments; and follow up to ensure customer satisfaction.

DUTIES AND RESPONSIBILITIES

  • Write and input orders with proper codes and correct prices
  • Receive and process orders via telephone, facsimile, mail, or EDI
  • Give customers pertinent information regarding shipping date, anticipated delays, etc.
  • Work closely with Warehouse and Purchasing Departments to verify stock levels, request new products, and replenish inventory
  • Convey customer shipping requirements to Transportation Department to ensure timely delivery
  • Confer with supplier, shipping department, or carrier personnel, to expedite delayed shipments
  • Confirm costs and FOB point
  • Research products including lead time, size, and manufacturer, ensuring that order meets customer specifications and required dates
  • Work with Accounting Department to verify credit status and obtain credit hold release
  • Oversee specification information for accounts
  • Interact with Purchasing Department and/or Sales personnel for processing of return goods
  • Work with Quality Assurance to ensure customer specifications are met
  • Coordinate new account setup
  • Provide or forward customer requests for documents including certificates of analysis, material safety data sheets, invoice copies, packing slips, proof of receipt/delivery, kosher certificates, specification sheets, technical data sheets, quotes, etc.
  • Resolve product or service problems
  • Collect and analyze customer information in service reports for management
  • Confer with suppliers, shipping department, or carrier personnel to expedite delayed shipments
  • Maintain files of active orders and post activities such as change notices, scheduling changes, partial shipments and credit changes
  • Other duties as assigned

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in business-related field preferred or equivalent work experience
  • Seven (7) plus years of experience in customer service or customer-service training

KNOWLEDGE AND SKILLS:

  • Excellent oral and written communications skills required, as well as a high level of patience, understanding, and tact, even under difficult circumstances.
  • Excellent telephone etiquette; maintaining a positive and professional image when interacting with both internal and external customers
  • Ability to perform complex math computations, including unit of measure conversions
  • Strong interpersonal skills; communicating effectively with all levels of management, personnel and customers
  • Successfully manage/prioritize multiple projects within conflicting operational demands
  • Proficiency in Microsoft Office applications
  • Work independently, with self-direction; well organized
  • Produce work accurately within tight deadline constraints
  • Clear understanding of Customer Service Department policies and procedures, as well as thorough knowledge of assigned accounts
