Job Summary
The Administrative Assistant will be responsible for supporting the Office Manager and Regional VP’s by assisting with various administrative tasks, light accounting tasks and special projects.
Key Responsibilities
- Administrative Tasks
- Responsible for submitting expense reports for VP
- Assists Office Manager with various administrative tasks
- Organize travel arrangements for VP, including hotel reservations, flights, car service, dinner reservations, etc.
- Submit CAPEX requests for various departments
- Maintain Demo Pump and Banner spreadsheets to ensure items are being tracked when leaving the warehouse. Communicate with Admin Team, Warehouse Team, SC, and Office Manager about updates on Demo Pumps and Banners leaving our facility to ensure no overlap in use
Responsible for ordering company gear, communicate with Sales Coordinator on needs, timeline, quantity.
- Obtains quotes and mock-ups, attains approval by Office Manager
- Assist in distributing to branches
- Work with Sales Coordinator & Marketing Coordinator to ensure we have the gear needed for each event, ensure items are ordered and received on time
- Responsible for communicating with Office Manger distribution of branded items for reclassification of costs
- Backup support for answering phone calls
- Complete Customer required applicant paperwork packages
Light Accounting Tasks
- Work closely with corporate AP department
- Review AR accounts for unpaid invoices
- Correspond with customers to request and secure overdue payments
- New business partner set ups – sets up vendors for accounts payable through COUPA
- Review AP invoices in COUPA for approval or redirect to the correct individual for their approval
- Review Freight and UPS bills to make sure that all freight tied to Sales Orders has been captured in our ERP system
- Uploading invoices into Customer Accounting Portals
Reports
This position will run multiple reports each week/month and distribute for action by others including:
- Order Class
- Inventory Returns
- Service Open Order Report
- Orders on Hold
- A/R by location for other locations
Meeting and Event Coordination
- Assist with coordinating meetings and events (DXP University, customer and vendor events, sales meetings, etc.) including arranging caterers, rentals, determine A/V needs, travel arrangements
- Help organize company parties and celebrations
Qualifications
- High School diploma or equivalent, some college preferred
- 3-5+ years’ experience in an administrative role
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Exceptional time management skills and detail oriented
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Teams
- Ability to work independently and collaboratively within a team environment
- The Admin Assistant will report to the Office Manager.

Additional Information:
- Pay: $25hr. +
- Physical Demand: N/A.
- Working Conditions: Office environment.
- Training/Certifications: Training will be provided by a combination of OTJ and supplier-led trainings.
- Shift Time/Overtime: 8am - 5pm, with overtime as needed
- Travel: Out of town travel is occasionally required
- Education: A bachelor degree preferred or high school/GED with applicable experience.
