Description

Position: Administrative Assistant

Status: Non-exempt; Full Time

Reports to: Compliance/Executive Assistant

Supervises: None

Department: Administration

Official Duty Station: Administrative Office

This position provides administrative support to the Compliance/Executive Assistant in various activities and tasks related to Administration. The Administrative Assistant shall perform duties according to APHCV’s policies and procedures.

All employees are expected to respond and participate in emergency situations as per emergency policies and procedures.

APHCV is a tobacco-free organization.

Responsibilities

  • Records Management: File, organize, maintain, and retrieve documents; assist in records retention and destruction; maintain organized meeting materials.
  • Administrative Support: Assist in compliance activities, including internal audits, vendor checks, policy reviews, and document preparations.
  • Assist in planning meetings, developing presentations, managing correspondence, and handling proposals and contracts.
  • Assist in license and certificate applications, renewals, and updates.
  • Prepare invoices, review checks, and manage mail and faxes.
  • Provide front desk support as needed.
  • Support meetings and special projects as assigned.

Qualifications

  • Minimum of an Associate's degree or two years of administrative experience.
  • Experience handling confidential information.
  • Strong communication skills, initiative, adaptability, organizational skills, and ability to work under pressure.
  • Proficiency in Microsoft Office applications.

Physical Requirements

Ability to lift up to 25 lbs.

Preferred Skills

Multi-tasking, time management, problem-solving, proficiency in English spelling and grammar.

HR Requirements

Legal authorization to work in the U.S., valid CA driver’s license, background check, and other procedural requirements.
