Job Title: Administrative Assistant, College of Health Sciences
Department: College of Health Sciences
Reports To: Director of Operations, College of Health Sciences & Dean, College of Health Sciences
Location: On-site
FLSA Status: Exempt
Annual duration: 12-month
Expected hours per week: Full-time, including some nights and weekend work. *Only if needed for specific university events or on-campus clinical immersions.

Supervisory Responsibilities: None
Summary Description: The Administrative Assistant for the College of Health Sciences at Carson-Newman University provides essential operational support for the College. This position reports directly to the Director of Operations and the Dean of the College of Health Sciences. The Administrative Assistant collaborates with the administrative team to support the daily operations of the College.
Essential Functions

- College of Health Sciences
Completion of RFPs and Reimbursements and delivery to the Treasurer's Office. Maintain filing system of expenses.
Communication
Serve as the primary point of contact for prospective and current students, faculty, and staff, providing timely and professional responses to inquiries. Maintains outlook calendar and assists with coordination of the activities amongst the College and across the university.
Faculty Correspondence
Assists with maintaining appropriate faculty records as needed for accreditation. Coordinating mail and package delivery/pick-up and distribution.
General Office
Responsible for filing/shredding documents. Attend Academic Administrative Assistant meetings. Maintain supply inventory for kitchen/office supplies. Report any maintenance issues.
Student Files
Create and maintain electronic folders for each student and provide faculty with necessary forms and advising materials to be included in files.
Events
Assist the Director of Operations in planning special events and conferences including open houses, interviews, and orientation sessions.
Recruitment
Represent the College of Health Sciences as needed at educational fairs, conferences, hospitals, and professional organizations.

Education: Minimum of HS diploma equivalency with relevant experience.
Experience: Strong interpersonal, communication, and organizational skills. Proficiency in Microsoft Office 365 and experience working with databases and reporting tools. Knowledge of accreditation processes and standards (e.g., SACSCOC, COA, CCNE) is highly desirable.
Required Skills: Excellent interpersonal, written, and verbal communications skills; Advanced organizational skills; Collaborative; Driven.
