Job Summary
The Administrative Assistant supports Property Managers with property operations and daily schedules.
Responsibilities
- Handle maintenance calls, follow up with contractors and tenants
- Track tenant gross sales reports and insurance certificates
- Prepare, copy, distribute, and file correspondence
- Maintain tenant and operational files
- Prepare tenant welcome packages
- Record and distribute meeting minutes
- Generate reports for managers
- Update contact and project lists
- Manage key box and management agreement books
- Arrange travel and seminars
- Assist with common area maintenance reconciliations
The role involves working closely with Property Managers and may include additional tasks as assigned, with potential for promotion to Assistant Property Manager.
Qualifications
- Knowledge of office and accounting procedures
- 2-3 years administrative experience in a commercial setting
- Ability to work independently, research, and solve problems
- Good phone and email etiquette
- Ability to prioritize and meet deadlines
- Attention to detail

Must have excellent time management, prioritize tasks, be self-motivated, detail-oriented, follow directions, and work well in a team.
