Are you an organized, detail-oriented professional who thrives in a fast-paced environment? We’re looking for an Administrative Assistant to provide high-level support to our Office Managing Partner (OMP) and coordinate local event logistics.
The Administrative Assistant provides comprehensive administrative support to the Office Managing Partner (OMP) and partners with the Local Event Services Team to ensure exceptional execution of in-office and off-site events. This role requires high attention to detail, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage the OMP’s calendar in Microsoft Outlook, ensuring accurate scheduling and conflict resolution.
- Provide email support, respond to inquiries, and draft correspondence.
- Coordinate travel arrangements and maintain travel profiles.
- Process expense reports and track executive time.
- Support reporting, newsletter creation, and client research.
- Arrange gifts for clients and team members.
- Prepare and format documents, presentations, and marketing materials.
- Coordinate meetings, conference calls, and catering services.
- Maintain up-to-date LinkedIn and professional profiles for the OMP.
Event Coordination
- Partner with the Local Event Services Team to plan and execute events.
- Coordinate with vendors, secure Certificates of Insurance, and act as on-site point of contact.
- Arrange catering orders, manage menu planning, and oversee event setup.
- Conduct site visits for potential event locations.
- Register visitors, manage parking validations, and ensure compliance with firm event guidelines.
- Maintain event records, including invoices and setup details.
Qualifications
- Prior experience in administrative or executive support.
- Strong proficiency in Microsoft Office Suite.
- Excellent time management and organizational skills.
- Ability to communicate effectively with executives, clients, and vendors.
- High level of professionalism, discretion, and service orientation.
- Adaptability to changing priorities and deadlines.
