As our business grows, we’re looking for a reliable and detail-oriented Administrative Assistant to provide critical support to our team and help keep our operations running smoothly.
Position Overview
The Administrative Assistant will provide day-to-day support across the business, ensuring tasks are handled efficiently, deadlines are met, and details don’t fall through the cracks. This person will help with maintaining the office environment (inventory & supplies), shipment tracking, customer communication, and customer paperwork, as well as light creative tasks such as preparing marketing collateral using Adobe Creative Cloud. This is an ideal role for someone who thrives in a support capacity, enjoys variety in their workday, and takes pride in accuracy and follow-through. Think of yourself as the "Director of First Impressions."
Key Responsibilities
- Provide general administrative support to ownership and the sales/operations team, including answering phones, greeting customers, and any other required customer interactions
- Process and maintain customer paperwork, including invoices, memos, billing, and check deposits
- Maintain accurate records, files, and databases for easy access across departments
- Assist in preparing product presentations, line sheets, and simple marketing assets using Adobe Creative Cloud (Photoshop, InDesign, or Illustrator)
- Maintain orderly office systems, supplies, and files to support a smooth day-to-day workflow
- Perform general office management duties as needed to maintain an efficient and professional work environment
- Perform ad hoc administrative and office management tasks as needed
Qualifications
- 2+ years of experience in an administrative or office support role (experience in jewelry, fashion, or luxury goods is a plus)
- Strong organizational skills with meticulous attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook); basic Adobe Creative Cloud experience required (Photoshop, InDesign, or Illustrator)
- Excellent written and verbal communication skills
- Reliable, proactive, and comfortable in a support role
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Professional, discreet, and trustworthy with confidential information
