Job Description
Join our high-performing team at NASA Langley! Science and Technology Corporation (STC) is seeking an experienced, energetic, and highly motivated Administrative Assistant to support our $20M MCHFSS contract and the $25M follow-on MCHFSS II contract. If you thrive in a fast-paced environment, love keeping things organized, and enjoy working with a tight-knit, mission-driven team, this is your opportunity to make an immediate impact.
We need someone who can hit the ground running, a self-starter who takes ownership, solves problems, and keeps our program running smoothly without constant direction. This role is critical to our success, and we’re ready to hire right away.
What You’ll Do
- Review employee timesheets weekly for accuracy; work with employees to resolve discrepancies quickly.
- Schedule and track employee physicals and occupational health appointments with the NASA Langley clinic.
- Track purchases, reconcile credit card statements, and maintain accurate procurement records.
- Complete and submit monthly CMAR (Contract Management and Reporting) reports on time.
- Maintain and organize program documentation, reports, and correspondence.
- Coordinate meetings, manage calendars, prepare agendas, and record meeting minutes.
- Support new hire onboarding and visitor access, including badging and workspace setup.
- Arrange travel and process expense reports according to STC and NASA policies.
- Monitor program deliverables, deadlines, and action items to keep the team on track.
- Serve as the go-to liaison between STC staff, NASA site services, and corporate administration.
Why You’ll Love This Job
- Work on-site at NASA Langley, supporting mission-critical aerospace projects.
- Be part of a collaborative, supportive, and motivated team.
- Contribute directly to programs valued at $20M and $25M.
- Enjoy a role where your work truly matters every day.
If you’re ready to take on this exciting challenge, we want to hear from you now. This position is open immediately, and we’re looking for the right person to join us without delay. Apply today and help us keep one of NASA Langley’s most important programs running at full speed!
Job Requirements
- At least 3 years’ administrative experience, ideally in a federal contract or technical program setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with project or procurement tracking tools is a plus.
- Ability to work independently, stay organized, and manage multiple priorities in a fast-paced environment.
- Strong attention to detail and ability to meet tight deadlines.
- Excellent communication skills, written, verbal, and interpersonal.
- U.S. citizenship and ability to meet NASA badging requirements.
Preferred Skills
- Experience supporting programs over $10M in value.
- Knowledge of NASA or federal agency administrative processes.
- Background in credit card reconciliation, procurement documentation, timesheet administration, and CMAR reporting.
Education
High school diploma required; Associate’s degree or higher preferred.
Administrative or business certifications (e.g., CAP, AAP) a plus.
