PURPOSE:

The Mishkon Division provides supports and services in a healthy and safe environment for individuals with intellectual/developmental disabilities living in residential programs and in community settings. POSITION OVERVIEW:

The Administrative Assistant supports the smooth and efficient functioning of organizational programs, operations, and administrative functions. This role is responsible for providing high-quality administrative and logistical support to multiple departments, coordinating internal processes, assisting with documentation, and reporting, and ensuring day-to-day office operations are carried out efficiently.

KEY ESSENTIAL FUNCTIONS:

  • The Administrative Assistant is responsible for greeting and screening visitors. Maintaining the visitor’s log. Answering and responding to call and emails.
  • Receives and sorts through mail and packages.
  • Assist with data entry and uploading into the electronic health records and other related systems.
  • Organize and maintain digital files on SharePoint. Organize and assist with archiving projects.
  • Order and maintain inventory of office supplies and equipment.
  • Assist with event planning, scheduling meetings and coordinating logistics for internal and external meetings.
  • Provide support with coordinating car service/transportation for programs and administrative staff.
  • Assist with staff and individuals during emergencies.
  • Provide support to the Executive Director and Deputy Directors.
  • Other duties as assigned.

CORE COMPETENCIES:

  • Excellent communication and interpersonal skills. Experience in exercising good judgment and problem solving against multiple priorities.
  • Ability to analyze problems and work in team environment to provide solutions.
  • Ability to develop positive working relationships and collaborate across all departments.

EDUCATIONAL / TRAINING REQUIRED:

  • HS diploma or GED required.
  • Working knowledge of OPWDD regulatory requirements is preferred.

EXPERIENCE REQUIRED / LANGUAGE PREFERENCE:

  • 2+ years of administrative experience.
  • Familiarity with Orthodox Jewish practices is preferred.

COMPUTER SKILLS (list the computer skills needed):

  • Strong computer skills are required. Must have the ability to use Microsoft 365 applications including SharePoint, Word, Excel, and PowerPoint are critical.

VISUAL AND MANUAL DEXIERITY:

  • Ability to monitor a large volume of emails and calendar appointments.
  • Ability to operate office equipment such as copies, scanners, printers phone system.

WORK ENVIRONMENT / PHYSICAL EFFORT:

  • Ability to sit in an office environment for an extended period of time.
  • Light lifting up to 50 lbs.
