ABOUT THE ROLE

As an Administrative Assistant at Welltower, you will provide comprehensive administrative support to multiple leaders across the organization. This role requires a highly organized, detail-oriented, and proactive individual who can manage a variety of tasks with discretion and professionalism. The position is based in our beautiful new office at 1345 6th Avenue and requires an on-site presence Monday through Friday. Occasional evening or weekend support may also be needed.

KEY RESPONSIBILITIES

  • Manage calendars, schedule appointments/interviews, and coordinate meetings for department members.
  • Assist with travel arrangements and expense reports.
  • Assist with coordinating onboarding tasks for new employees within the dept.
  • Perform general administrative tasks such as printing and scanning documents.
  • Prepare and distribute correspondence, memos, and reports as needed.
  • Maintain and organize departmental files and records.
  • Assist with special projects and initiatives as assigned.
  • Coordinate logistics for departmental events, meetings, and conferences.
  • Ensure confidentiality and security of sensitive information.
  • Provide backup coverage for Office Manager duties as needed.

MINIMUM REQUIREMENTS

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Proven experience as an administrative assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Professional demeanor and customer service orientation.
  • Familiarity with office equipment such as printers, copiers, and scanners.
