About the Role
We’re seeking a detail-oriented Administrative Assistant to support a busy division with a variety of administrative and office management tasks. This role is perfect for someone who thrives in a fast-paced environment, enjoys organization, and has a professional, proactive approach to their work.
Key Responsibilities
Administrative Support (60–80%)
- Prepare letters, memos, and reports from handwritten notes, dictation, or drafts
- Format documents and ensure accuracy in grammar and spelling
- Create presentation slides as needed
- Compose basic correspondence and memos
- Respond to routine inquiries and research information as appropriate
- Schedule small-group meetings, coordinating calendars, room bookings, and equipment
- Perform general office tasks: filing, photocopying (including two-sided and multi-page jobs), answering phones, sorting/distributing mail, and managing faxes
- Greet and assist guests/visitors in a professional manner
- Provide backup support for other administrative staff, including phone coverage and vacation/sick leave coverage
- Assist with occasional special projects as needed
Office/Division Administration (20–40%)
- Update internal HR-related information (e.g., name, address, or phone number changes)
- Maintain attendance records (vacation, sick, comp time) and distribute pay statements
- Manage and update manuals and confidential departmental files
- Coordinate facility issues (lighting, HVAC, restrooms, furniture) with Building Services
- Track important dates/meetings and assist with disbursement requests and seminar registrations
Requirements
- Minimum of 1 year of administrative experience
- Typing speed of at least 35 WPM
- Proficient in Microsoft Word
- Strong grammar, spelling, and proofreading skills
- Proven ability to manage multiple priorities and meet deadlines
- Ability to handle confidential materials with discretion
- Professionalism, tact, and strong interpersonal skills
- Self-motivated and able to work independently
Preferred Skills
- Familiarity with business or organizational environments
- Strong collaboration and communication skills
- Experience with calendar management and scheduling
- High level of organization and attention to detail
