Assist the Executive Director, Director for Operations, Human Resources Director, and Managers (and others, as needed) with various administrative tasks to maintain the program.
Answer telephone calls, direct them to the proper program/person, and take clear messages.
Greet and provide assistance to visitors.
Coordinate Employee and Client Satisfaction Surveys.
Maintain ongoing communication with Direct Support Professionals and share necessary updates with program staff.
Oversee postal components, process incoming and outgoing mail, etc.
Open/close confidential case records, file documents, handle correspondence, statistical reports, flyers, and other tasks as assigned.
Perform data entry and work processing for individual and employee records.
Manage individual admissions into the program, ensuring all required documentation are received and processed.
Order supplies, maintain equipment, and facilitate office repairs with relevant staff.
Maintain office schedules and be aware of scheduling changes.
Maintain office systems, procedures, and specific program assignments.
Disseminate internal and external public relations and marketing materials; give tours to prospective individuals, clients, and stakeholders.
Attend regular in-services to enhance skills and knowledge related to development and intellectual disabilities populations served by AccessStar.
Transport individuals to appointments as necessary.
Perform duties of Direct Care professionals as needed.
Process all pre-hire and post-hire paperwork.
Maintain accurate and up-to-date human resource files, records, and documentation.
Answer FAQs from applicants and employees regarding policies, benefits, and hiring; refer complex questions to senior HR staff or management.
Ensure the confidentiality and integrity of HR files and records.
Conduct periodic audits of HR files to ensure completeness.
Provide clerical support to HR department.
Assist with payroll functions, including processing, resolving errors, and distributing checks.
Act as liaison with external benefits providers and vendors.
Conduct or assist with new hire orientations.
Manage employee training and annual trainings.
Assist with planning and executing special events such as benefits enrollment, meetings, recognition events, holidays, and retirements.
