At Catapult, we are supporting our member, NC Child, in their search for an Administrative Assistant. NC Child is based in Raleigh, NC, and this is a full time onsite role with occasional travel requirements.

Position Overview:

The Administrative Assistant will be a central figure in managing the daily administrative tasks that keep our departments running smoothly, particularly within the scope of Community Engagement. This role requires managing a variety of responsibilities for ensuring smooth office operations, with a special focus in scheduling and logistics for our external events around the state, as well as for our various councils of external partners and advocates. The ideal candidate will be an adept multi-tasker who excels in communication, organization, and holds a deep commitment to our cause.

Responsibilities:

Meeting & Team Logistics:

  • Schedule and coordinate meetings and events for assigned NC Child teams, including the Parent Advisory Council and Youth Advocacy Council.
  • Use Outlook for internal schedules and arranging Zoom for virtual meetings.
  • Manage all meeting and event logistics, including timelines, catering, venue, and travel arrangements as necessary.

Community Engagement Support:

  • Assist with managing incentives for participants, including submitting stipend requests, travel, and ordering materials for events, storytelling, or research participants.
  • Manage physical materials for events such as handouts, name tags, and related items.
  • Manage online registration forms and RSVPs.

Genera Office Operations:

  • Serve as the primary contact for incoming communications via the main NC Child email and phone number.
  • Oversee office maintenance, manage supply inventory, and ensure a tidy and productive office environment.
  • Manage building access and liaise with vendors for necessary repairs or improvements.

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Administrative experience, with a preference for backgrounds in non-profit and/or development work.
  • Proficiency in Microsoft Office Suite and experience with donor management software or databases.
  • Outstanding organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal, with a knack for clear and concise information dissemination.
  • Ability to work independently as well as part of a team, demonstrating initiative and problem-solving abilities.

Position Requirements:

  • This person will be required to work five days a week at the NC Child office in Raleigh, or at other in-person meetings or events.
  • This person will occasionally need to travel around the state. They will be reimbursed for all mileage traveled to project sites at the standard IRS rate for business purposes.

Compensation & Benefits:

NC Child offers a competitive salary and benefits package, including health and dental insurance, paid sick days, vacation, paid family leave, and a commitment to professional development.
