Job Title: Administrative Assistant
Division: FiOptix Inc.
FSLA Status: Non-Exempt
Reports To: Project Manager
Job Summary: This position is responsible for performing a wide variety of administrative functions as required by daily operations in the local office.
Essential Duties and Responsibilities:
- Provide administrative support to assigned departments including, general data entry, photocopying, faxing, filing, and collating
- Prepare, organize, and maintain and project documentation
- Contact vendors and subcontractors to obtain project information
- Create, publish, and distribute reports as required
- Answer phones, take messages, and answer all routine and non-routing questions
- Other duties as assigned
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.
Education: High School Diploma, general education degree (G.E.D.), or related trade school education
Experience:
- One-year experience in an administrative position
- Construction industry experience preferred
Technical Skills:
- Computer and Microsoft Office proficiency
- Strong data entry and typing skills
Soft Skills:
- Highly organized and detail oriented
- Strong verbal, written, and interpersonal communication skills
- Ability to work independently and as a member of various teams
- Ability to multi-task and work in a fast-paced environment under tight deadlines
Physical Requirements:
- Must be able to pass pre-employment screening that includes background and drug testing
- Must have a valid driver’s license and a driving record that meets Company requirements
- May be required to work long and unpredictable hours
- Must be able to sit at a desk and/or work on a computer for 6-8 hours per day
