We are a local construction company looking for an Administrative Assistance to work in our Portland, ME office, Monday through Friday.
A brief description of the responsibilities of the office assistant are as follows:
Communications with clients through phone, email, and during in person meetings.
Maintaining and processing light accounting projects that include data entry, payroll,
A/R and some A/P, in a timely manner.
Assisting with document preparation and filing of proper forms with the various municipalities.
Reconciling month end financials.
Maintaining accurate staff, contractor, and client files.
Printing, copying, and creating necessary documents for projects.
Maintaining accurate timeclock records, assigned tasks and daily logs through Buildertrend.
Buildertrend is a construction-based software program. Must have an interest in learning this program.
Assist in managing various schedules for multiple projects as needed.
Obtain quotes from vendors for projects in que.
We are looking for someone with the following qualifications:
Minimum 1-year reception/administrative experience.
Intermediate knowledge of Quickbooks online platform.
Intermediate knowledge in Microsoft Office applications including Excel and Word.
Ability to work individually and as part of a team.
Problem solving skills and impeccable attention to detail.
Excellent verbal and written communication skills.
Ability to multitask, manage time wisely, and work under pressure.
Knowledge of Social-Media, and Sketchup software a plus. Willing to train the right person.
Physical Requirements
Must be able to sit and/or stand for up to 8 hours per day
Must be able to bend down to reach items in cabinets
Must be able to lift up to 5 lbs at a time
Competitive pay rate to be based on experience.
