Responsibilities

IES Residential, Inc. is seeking a proactive and detail-oriented Administrative Assistant to support daily operations and maintain a welcoming and efficient office environment. This individual will be the first point of contact for visitors and callers while also ensuring smooth communication, scheduling, and workflow across the office. The role includes front desk reception, mail room coordination, supply management, and general office support.

Key Responsibilities
  • Front Desk Support

    • Answer and route multi-line phone calls professionally.

    • Greet visitors, clients, and vendors to ensure a positive first impression.

    • Maintain a clean and welcoming reception area.

  • Clerical & Administrative Duties

    • Process incoming and outgoing mail and packages.

    • Perform routine data entry with accuracy.

    • Manage internal calendars and schedule meetings.

  • Document Handling

    • Create and edit basic documents, reports, letters, and spreadsheets using Microsoft Word and Excel.

    • Scan, upload, and maintain electronic records.

  • Office Coordination

    • Ensure office and common areas are organized and stocked with necessary supplies.

    • Coordinate with vendors for maintenance or service needs.

    • Assist with planning and organizing internal events or meetings.


Qualifications

Preferred Qualifications
  • Minimum 1 year of administrative or receptionist experience, ideally in a fast-paced setting.

  • Bilingual (English/Spanish) is a plus, but not mandatory.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Exceptional verbal and written communication skills.

  • Strong organizational skills and attention to detail.

  • Ability to manage multiple priorities and meet deadlines.

Additional Requirements
  • Must be able to lift and move up to 50 lbs as part of mail room and supply duties.
