Job Summary:

We are looking for a detail-oriented, organized, and energetic Administrative Assistant to join our team. This role provides essential support across multiple departments, ensuring the smooth operation of daily business activities. As the backbone of our office operations, you will be responsible for managing communications, maintaining records, coordinating meetings, and supporting various administrative functions—all while contributing to our positive and people-focused culture.

Responsibilities:

  • Manage day-to-day administrative tasks, organizing correspondence, and maintaining physical and digital files.

Provide coverage for reception at lunch daily and any additional coverage needed.

  • Greet visitors and create a welcoming environment at the front desk.
  • Provide scheduling support for meetings, appointments, and company events.
  • Prepare new hire paperwork and other documents to support the People and Culture department.
  • Assist with internal communications and coordination across departments.
  • Maintain office supply closet, manage inventory, and place weekly orders.
  • Manage and respond to incoming emails and physical mail.
  • Scheduling meetings and entering them into the Outlook Calendar.
  • Scheduling phone screens and interviews with hiring managers for posted jobs.
  • Assist in the planning and execution of employee engagement activities and company events.
  • Update Communication and HR boards with company correspondence and policies as needed.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 2 years of administrative or office support experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint).
  • Familiarity with office equipment and tools (e.g., printers, fax machines, laminating machine).
  • Friendly, approachable, and team-oriented attitude.
