- Provides administrative support for the Human Resource Director and other Administrative staff.
- Responds to internal and external telephone calls, answers questions or refers caller to appropriate staff, routes calls and takes messages.
- Types and creates correspondence, memos, meeting minutes (as needed) and other documents. Types, creates and maintains agency forms. Types operational and personnel policy revisions and organizes and maintains policies. Heavy emphasis on editing and proofreading.
- Generates and prepares special reports as directed.
- Plans and coordinates meetings and events.
- Maintains agency contract agreements.
- Ensures availability of office and other supplies agency wide by maintaining inventory of supplies and submitting supply order.
- Updates and distributes the staff roster monthly including adding new employees, removing employees separated from employment, recording staff licensing/credentials updates, and providing other required information. Provides notification of upcoming licensure/credentials expiration to employees.
- Updates information or records in Electronic Health Record database as well as external databases such as OhioMHAS database for OBHIS forms with new information.
- Enters Cross Cutters.
- Completes client transfers, pending client discharges and client discharges. Ensures appropriate staff signatures are on form and closes the case in electronic health record software. Mailing letters to clients and attaching to charts.
- Corrects and modifies inaccurate files and records.
- Enters data into appropriate fields in databases, records, and files.
- Assists in Medical Records Department on a weekly basis.
- Transfers data from written records, interviews, and paper formats via computer, recorders, or scanners.
