The Accountant / Billing Specialist is responsible for managing the billing process for Landscape Construction projects, Landscape Maintenance projects, and Snow Removal services. This includes preparing and submitting billings in compliance with AIA contract requirements and internal company standards, ensuring all supporting documentation is accurate and complete. The Accountant / Billing Specialist also tracks billings, monitors retainage, and provides timely, accurate reporting to Finance on revenue, payment status, and budget-to-actual performance.

Duties and Responsibilities

• Prepare and submit billings for Landscape Construction, Landscape Maintenance, and Snow Removal services per contract terms.
• Prepare and submit AIA-compliant progress billings (including G702/G703 forms) with complete supporting documentation.
• Maintain and update schedules of values; track retainage; monitor payment timelines.
• Process job bookings for Landscape Construction by entering contract and sales data into Microsoft Business Central, CMS, and other contractor-specific systems, ensuring complete and accurate information.
• Verify billing packet accuracy, resolve discrepancies, and update contracts and billings accordingly.
• Track and record change orders, purchase orders, and partial billings, ensuring accurate invoice creation and recordkeeping.
• Serve as a notary public for pay requests and related documents, as required.
• Compile and prepare financial and project-related reports through Microsoft Business Central and reporting tools.
• Update and maintain job planning lines and related financial data.
• Maintain organized, accurate billing records and knowledge management systems.
• Perform data entry, correspondence, and other administrative tasks in support of billing and contract compliance.
• Ensure adherence to company safety policies and procedures.

Experience:

• Minimum 3–5 years of billing experience in the construction, landscaping, or related industry.
• Proven experience preparing and submitting AIA-compliant billings (including AIA G702/G703 forms).
• Familiarity with contract documentation requirements for billing general contractors, including lien waivers, sworn statements, schedules of values, retainage, and change orders.

Requirements:

• Currently a Notary Public under Wisconsin Statute, or ability to obtain designation within two (2) months.
• Proficiency with Microsoft Office.
• Exceptional attention to detail and proofreading skills required.
• Experience with AIA contracts and pay apps such as Textura is strongly preferred.
• Experience with Microsoft Dynamics Business Central or similar ERP/accounting software preferred.
• Demonstrated mathematical ability and accounting skills.
• Excellent interpersonal and communication skills, both written and verbal.
