Position Overview

The Receptionist is responsible for managing front desk operations, providing administrative support, and ensuring a positive first impression for visitors

Key Responsibilities

  • Operate telephone switchboard to answer, screen or forward calls, provide information, take messages or schedule appointments.
  • Greet people entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Provide information about establishments, such as location and services provided.
  • Interact and effectively communicate with visitors, staff, management, and executives.
  • Respond to unscheduled visits, routing to appropriate individuals and following through in areas where appropriate.
  • Resolve complaints from customers or the public.
  • Send information or documents to customers using a computer, scanner, mail, or facsimile machine.
  • Maintain order levels of all office, kitchen / rest area supplies.
  • Prioritize and maintain reservations of conference rooms.
  • Other additional duties as assigned.

Qualifications And Education Requirements

  • Must have a high school diploma or equivalent.
  • A minimum of one (1) year progressive administrative assistance experience.
  • A minimum of two (2) years’ experience operating a multi-line phone system.
  • Ability to organize and prioritize items with competing priorities.
  • Knowledge of Microsoft Office programs
  • Exemplary communication, organization and problem-solving skills.
  • Excellent written and verbal.
  • High level of integrity and sensitivity to handling confidential and sensitive information.
  • Ability to work flexible hours.
