Job Title: Receptionist

Status: Full Time / Non-Exempt

Director Supervisor: Food Pantry Manager

Qualifications

  • High school diploma or equivalent (additional coursework or certifications in social services or office administration is a plus).
  • Previous experience working in a social service or nonprofit environment is preferred.
  • Experience working with homeless and low-income families.
  • Must possess a current Washington Driver’s License.
  • Bilingual skills highly preferred.

  • Strong verbal and written communication skills.
  • Ability to work effectively with a collaborative team.
  • Excellent knowledge of local community resources.
  • Good tracking and follow-up skills.
  • Time management skills.
  • Positive attitude, ability to work with diverse backgrounds.
  • Maintain professionalism, boundaries, and confidentiality.
  • Handle crisis/emergency situations with crisis intervention and conflict resolution skills.
  • Assess at-risk situations.
  • Remain calm under stress.
  • Pass criminal background check.
  • Proficient in Microsoft Office and office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.

Essential Duties and Responsibilities

  • Greet clients respectfully and empathetically.
  • Direct clients based on needs.
  • Assist with forms and applications.
  • Provide information on services.

Telephone and Email Management

  • Answer calls and respond to emails, directing inquiries appropriately.
  • Ensure confidentiality and sensitivity.

Schedule and Administrative Support

  • Schedule client appointments.
  • Maintain records of appointments, follow-ups, and referrals.

Data Entry and Record Keeping

  • Enter clients into Wellsky system, document services.
  • Maintain confidentiality per privacy regulations.

Resource Referral

  • Provide community resource information.
  • Coordinate with case manager for client services.

Office Management

  • Monitor and request office supplies.
  • Keep office organized and welcoming.
  • Assist with outreach events.
  • Handle sensitive situations professionally.

Crisis Response (as needed)

  • Support individuals in crisis, connect to resources.
  • Stay calm and professional.

Additional Duties

  • Assist with transportation as an approved driver.
