Responsibilities

  • Answer the phone and greet clients and visitors in a professional manner.
  • Direct phone calls and walk-ins to the appropriate team members in a courteous and professional manner.
  • Return calls placed on hold in a timely manner, offering to continue holding or to leave a message.
  • Answer client inquiries, as needed, or direct the inquiry to the person best able to answer.
  • Take and deliver accurate phone messages, including names and contact information, and relay messages promptly.
  • Maintain a neat reception area and a professional, comfortable general office atmosphere.
  • Open, sort, and distribute the mail neatly and accurately for the agency personnel according to the mail distribution workforce.
  • Process and send outgoing mail and packages for the agency utilizing the mail processing machine as well as appropriate shipping services as needed.
  • Monitor the agency inboxes to distribute incoming emails, voicemails, and faxes to the appropriate team member.
  • Maintain inventory of office supplies.
  • Print, scan, copy and fax documents as needed to assist team members.
  • Routine and ad-hoc or support assignments for individuals as needed.
  • Actively seek out and perform other agency support functions and perform clerical duties as requested or required by others.

Qualifications

  • Proven work experience as a receptionist, front office representative or similar role.
  • Proficiency in Microsoft Office Suite.
  • Hands-on experience with office equipment.
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • Able to function independently and as part of a team.

Education/Experience

  • High school diploma or recognized equivalent is required.
  • Experience in customer service or insurance field is preferred.
  • Familiarity with a multiline telephone system.

Physical Demands

  • Position entails sitting, talking, writing, reading, reaching, computer entry, and typing.
  • Occasional travel required with some overnight trips; must have access to reliable transportation.
