Responsibilities

  • Provide routine office support, assist the public in person and over the phone, prepare a variety of correspondence and reports, process accounts payable and/or receivable, prepare meeting minutes, purchase office supplies, maintain records, conduct routine research, and schedule and coordinate meetings and/or special events.
  • This class specification represents only the core areas of responsibilities; specific position assignments will vary depending on the needs of the department.
  • Respond to inquiries and requests for information from staff and/or from the general public. Research and retrieve information and/or documents and provide responses to customers.
  • Receive and/or process documents. Maintain and update records, files, indexes and other documentation. Provide records management according to records retention procedures.
  • Provide administrative support of assigned area by attending meetings, gathering information, and preparing correspondence, meeting agendas, information packets, meeting minutes, public notices, maps and/or other related materials.
  • Maintain calendars, schedule meetings, coordinate meeting spaces, and make travel arrangements.
  • Process accounts payable, receivable, and/or purchase order documents. Maintain and request replacement of supply inventory.
  • Update and administer website information related to assigned area; process advertising, posting of public information, and other related activities.
  • Performs other duties of a similar nature and level as assigned.

Training and Experience

High School Diploma or GED and 3 years of office or customer service experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Licensing/Certifications

State of Alaska Drivers License.
