Job Description / Purpose:

This Administrative Assistant position will provide front-line support for the corporate office. The primary responsibility of this role will be to answer phones, providing exemplary customer support and service, in a professional manner at all times. This role also provides daily administrative support, as directed by management, to increase efficiency, reduce costs and ensure the smooth day-to-day operations of the corporate office.

Key Responsibilities:

  • Answer all incoming calls professionally, route calls, and take messages as required.
  • Respond to all leads and estimate requests within one (1) working hour (email or voicemail), gather customer information, enter new leads into CRM, and ensure follow-up.
  • Schedule estimates for Project Managers for new and existing customers, and confirm appointments via email using CRM.
  • Assist with processing contracts and purchase orders, ensuring proper execution, scanning into the system, and returning to customers.
  • Create project folders with relevant documentation before handoff to production.
  • Provide administrative support to Project Managers, including calendar management when they call remotely.
  • Issue RRP documentation and cover letters for projects as required by law.
  • Open and distribute postal mail, send packages via FedEx, UPS, etc., and maintain office equipment.
  • Manage postage meter, order supplies, and maintain inventory.
  • Welcome visitors, conduct them to appropriate areas, and provide refreshments as needed.
  • Maintain tidiness in conference rooms, reception, kitchen, and bathrooms.

Minimum Qualifications:

  • High School Diploma (Associate’s Degree preferred).
  • Attention to detail, organizational skills, and excellent communication skills.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Ability to learn and stay current with various software programs.
  • Ability to prioritize, meet deadlines, and exercise good judgment.
  • Flexible, self-motivated team-player adaptable to changing needs.
