The role involves answering incoming calls, greeting visitors, directing callers/visitors, and managing messages. Essential Functions

  • Answer all incoming calls pleasantly, greet visitors, and direct inquiries appropriately.
  • Familiarize with Seattle staff to direct calls and guests effectively.
  • Maintain a professional appearance and behavior.
  • Manage conference and boardroom calendars and physical appearance.
  • Handle incoming and outgoing mail, packages, and faxes.
  • Order, store, and distribute office supplies.
  • Prepare check requisitions if needed.
  • Log and arrange courier services for incoming priority packages.
  • Maintain postage and shipping machines.
  • Code invoices such as phone and supplier bills.

Minimum Requirements

  • High school diploma or equivalent.
  • 5+ years of front desk reception or related experience.
  • Proficiency in managing a multi-line phone system (up to 10 lines).
  • Ability to work a consistent schedule from 8AM to 5PM with minimal flexibility.
