The Role

The Receptionist Assistant serves as the first point of contact for visitors and callers while providing administrative and operational support to ensure smooth office functions. This internship is an excellent opportunity for individuals looking to gain hands-on experience in a professional setting while developing customer service, operational, and multitasking skills.

Primary Responsibilities

Front Desk & Guest Services

  • Greet and assist visitors, ensuring a welcoming and professional environment.
  • Direct guests to the appropriate staff member or department.
  • Answer phone calls and emails, responding to inquiries in a professional and courteous manner.
  • Maintain awareness of the guest registration form and expected visitors.

Administrative & Office Support

  • Assist with general office tasks, which may include data entry, filing, and photocopying.
  • Monitor and restock office supplies (e.g. coffee, tea, and snack stations)
  • Ensure the office is setup for the day and closed out at the end of day
  • Help coordinate incoming and outgoing mail and packages, ensuring proper distribution.
  • Maintain an organized and clean front desk and common areas.
  • Assist with setting up and breaking down meeting spaces as needed.
  • Participate in team meetings and support projects as needed.

Physical Requirements & Work Environment

  • Ability to lift and carry up to 50 lbs, (e.g., moving packages, office supplies, and furniture when needed)
  • This role primarily requires working in an office setting, with frequent standing, walking, and occasional lifting and moving
  • Candidates should be comfortable working in a fast-paced environment and assisting with office upkeep throughout the day.

Additional Duties

  • Assist with special projects and ad-hoc tasks as assigned by the Operations Manager.
  • Uphold confidentiality and professionalism in handling sensitive information.
  • Support other departments with administrative tasks as needed.

Qualifications And Experience

  • Strong verbal and written communication skills.
  • Excellent interpersonal skills with a customer service mindset.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Professional demeanor and strong work ethic.
  • Willingness to learn, take initiative, and adapt to changing tasks.
  • Dependable, punctual, and able to work independently with minimal supervision.

Preferred (Not Required, But a Plus!):

  • Previous experience in customer service, reception, or administrative support.
  • Experience using office equipment (e.g., printers, scanners, phone systems and more)
  • Familiarity with Google Workspace (Docs, Sheets, Gmail, Calendar) or Microsoft Office Suite (Word, Excel, Outlook).

Location, Work Schedule & Breaks

  • Part-time ( up to 25 hours per week )
  • This position will be based in Chicago (900 N. North Branch Street).
  • 2-3 days a week; 8:00am-5;00pm; occasional weekends and late evenings may be required.
  • Two 15-minute paid breaks and a 30-minute unpaid lunch break per shift.

Compensation, Dress Code & Professional Development

  • Earn $20/hour ( non-exempt )
  • Receptionist Assistant is expected to dress in business casual attire and maintain a professional appearance in alignment with the office environment.
  • Strong performance may lead to future opportunities within the organization.
