Overview
Davis Wright Tremaine LLP is seeking a Receptionist/Concierge for our New York office. This is an in-office role with hours from 10:00 a.m. to 6:00 p.m., five days per week. The position combines traditional receptionist duties with concierge responsibilities to provide exceptional customer service to attorneys, business professionals, clients and other visitors, ensuring a welcoming and professional experience.
Responsibilities
- Answer and screen incoming calls promptly and professionally; take detailed messages or transfer to voicemail as directed; send messages by email when necessary
- Greet clients and notify attorneys and/or business professionals of their arrival; escort visitors to reserved offices as needed
- Assist visitors; log guests into the building security system; manage visiting office schedules; confirm visits daily; assist with copying or faxing as needed
- Communicate with attorneys and staff regarding inquiries and requests (e.g., ordering meals, scheduling conference rooms, reserving visitor offices, arranging car service)
- Receive hand-delivered client documents and notify the Managing Clerk’s office or mailroom personnel
- Serve as concierge to visitors, assisting with copying, faxing, scanning, transportation, reservations, etc.
- Maintain online conference room schedules; coordinate catering questions and room reservations
- Liaise with internal and external clients for meetings, events and special requests
- Place catering orders and maintain log of dietary restrictions and preferences
- Coordinate events requests including A/V needs, guest lists, security clearances, and vendor access
- Interact with building security/maintenance: order building access badges, report facilities issues
- Maintain office phone directory and floor plan; coordinate with Administration on office and phone assignments
- Maintain NY portal page regarding daily attendance and visitors
- Present an image consistent with a professional services firm and a client-service culture
- Assist with other clerical tasks as needed
Qualifications
- 2+ years’ experience as a receptionist or administrative assistant in a professional office environment; experience using a multi-line phone system preferred
- High School diploma or GED required
- Basic knowledge of Microsoft Office products
- Self-starter with strong attention to detail and highly organized
- Excellent interpersonal, grammar and proofreading skills; good judgment
- Regular and consistent attendance; ability to adapt work schedule as needed
- Professional verbal and written communication with internal and external clients
- Ability to learn new programs and adapt to updates
- Ability to work with minimal supervision, prioritize multiple tasks, and work in a team-oriented, service-focused environment
- Ability to remain calm in stressful situations and sit at a workstation for lengthy periods with occasional breaks
Benefits
- Annual base pay range: $31.87–$35.71 hourly; equivalent to $58,000–$65,000 annually in New York City
