We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing residential real estate team. This role is perfect for someone who thrives in a fast-paced environment and wants to be an integral part of a successful real estate operation. You’ll provide comprehensive administrative support while specializing in marketing coordination, client management, and property management assistance.

KEY RESPONSIBILITIES

Client Transaction Management (40%)

• Prepare and organize purchase agreements, addendums, and closing documents

• Schedule and coordinate inspections, appraisals, and final walkthroughs

• Update clients on transaction progress and handle routine inquiries

• Manage CRM system with accurate client information and transaction details

• Coordinate home listing preparations including contractor scheduling and project management

• Manage repair lists, coordinate completion timelines, and procure materials as needed

• Oversee pre-listing home improvements and staging coordination

• Maintain organized transaction files and documentation

Marketing & Brand Management (30%)

• Create and manage social media content across multiple platforms

• Design property marketing materials including flyers, brochures, and feature sheets

• Coordinate professional photography and videography for listings

• Manage email marketing campaigns and client newsletters

• Update website content and maintain online property listings

• Monitor and respond to online reviews and social media engagement

• Develop and execute marketing calendar for seasonal campaigns and events

Administrative Operations (20%)

• Answer phones, screen calls, and manage email correspondence

• Schedule appointments and maintain complex calendars

• Organize and maintain digital filing systems and client databases

• Prepare listing presentations and buyer consultation materials

• Coordinate open houses and property showings

• Manage vendor relationships and coordinate service appointments

• Track expenses and maintain organized financial records

Event Planning & Client Relations (10%)

• Plan and execute annual client appreciation dinner

• Create and coordinate holiday gift programs and deliveries

• Organize monthly client outreach events and activities

• Manage event logistics including venue coordination, catering, and entertainment

• Coordinate client referral appreciation events and recognition programs

• Plan and execute seasonal marketing events and community involvement activities
