Job summary


The Human Resources Assistant plays a vital role in the HR department, ensuring a seamless and positive experience for candidates and employees. This role provides administrative support to the HR team, focusing on managing the pre-employment and onboarding process. The ideal candidate is organized, an excellent communicator, and capable of coordinating across multiple departments. This role is suitable for someone who wants to start a career in HR and can work independently and collaboratively.


Essential Duties And Responsibilities



  • Manages recruitment support tasks: opening job requisitions, preparing and sending offer letters, and initiating pre-employment screenings.

  • Acts as primary point of contact for candidates during the pre-employment process, ensuring clear communication and a positive experience.

  • Addresses discrepancies during pre-employment screening in line with policy and legal guidelines.

  • Maintains accurate HR files, records, and documentation with confidentiality.

  • Coordinates logistics of new hire orientation across multiple locations; assists with sessions as needed.

  • Finalizes hiring by processing all new hire paperwork, ensuring data accuracy in the HRIS (Paycor), and maintaining organized employee files.

  • Collaborates with IT, Learning & Development, and other departments to ensure access and resources for new hires.

  • Responds to FAQs from applicants and employees; refers complex questions to senior HR staff.

  • Provides administrative support to HR, including creating PowerPoint presentations, Excel reports, and updating company boards.

  • Assists with Benefits Open Enrollment and Employee Relations as needed.

  • Performs other duties as assigned.


Minimum Requirements



  • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field is a plus.

  • 1-2 years of experience in HR, recruitment, or related administrative role preferred.

  • Bilingual in English and Spanish is required.

  • Valid driver’s license and reliable transportation.

  • Proficiency in Google Suite.

  • Experience with an HRIS (e.g., Paycor) is a plus.

  • Exceptional organizational, communication, and interpersonal skills with ability to interact professionally with a diverse population.

  • Strong attention to detail, critical thinking, and sound judgment.

  • Ability to handle sensitive and confidential information with discretion and professionalism.

  • Ability to work independently and as part of a team.
