Position Summary:

The IT Applications Support Coordinator is responsible for ensuring high quality, consistent technical customer support, and ensuring support service levels are met or exceeded. Tasks include support of business applications like SharePoint and Epic systems support, project coordination, ticket resolution, and team administrative tasks. The ideal candidate is detail-oriented, collaborative, and comfortable working across IT platforms and healthcare systems.

Essential Functions of the Job :

SharePoint Administration:

  • Serve as the primary administrator for SharePoint team sites and document libraries
  • Design, develop, and maintain SharePoint pages, lists, workflows and permissions
  • Troubleshoot SharePoint issues and coordinate with IT support as needed
  • Ensure secure access and compliance with internal standards
  • Provide ongoing department site support and customization as needed

Ticketing & IT Support:

  • Manage and close support tickets in ManageEngine
  • Troubleshoot and escalate IT issues as appropriate
  • Provide timely resolution and clear documentation for end-user support

Epic New Hire Coordination:

  • Serve as one of the onsite Epic proctors for new hire training sessions
  • Assign job categories and training tracks to new users
  • Generate and manage Epic training compliance reports
  • New Hire Epic setup:
    • Running SSRS Report
    • Sending imports to Epic
    • Creating Epic U Profile
    • Assigning training tracks
    • Scheduling new hire classes in Epic U& Outlook
    • Communication with managers/sending out outlook invites for training
    • New hire ManageEngine tickets
    • Maintain communication with HR on any changes
  • Epic ATAT (Access and Training Assignment Tool) Maintenance
  • Follow-up with managers/supervisor for correct Epic courses for new onboarding users
  • Update Role Mapping

Project Coordination:

  • Assist in coordinating healthcare IT and cross-functional projects
  • Maintain and update Microsoft Teams and Outlook calendars
  • Schedule meetings, take minutes, book conference rooms, and track action items
  • Support project documentation, meeting coordination, and reporting
  • Coordinate logistics for team events, workshops and meetings

Metrics & Reporting:

  • Track and report on monthly Manage Engine metrics for the Epic team
  • Provide data insights to help improve team performance and engagement
  • Prepare summary reports and visuals for leadership review

Additional Duties and Responsibilities:

  • Performs other related duties as assigned

Job Requirements

Education Required:

  • High School Diploma or GED Equivalent

Experience Required:

  • 1 year experience supporting Electronic Health Record in any capacity
  • 1 year experience working in a Healthcare IT environment supporting various teams working in a support role, administrative or project management
  • 1 year experience working with SharePoint in an administrator role

Verbal and Written Skills Required to Perform the Job:

  • Excellent oral and written communication skills, with focus in technical or instruction-oriented writing and in clearly communicating technical concepts over the phone, in person and in writing
  • Communicate with others effectively both orally and in writing in working out solutions to problems or questions relating to the work
  • Ability to communicate and interact successfully with a diverse community and to develop and maintain positive professional relationships with colleagues and staff members
  • Ability to capture and communicate the context of a situation

Working Conditions and Physical Requirements:

  • Sitting in an ergonomically able position for periods of time
  • Significant lifting or adjusting of computer equipment in an average of 50 lbs.
  • Travel required, mainly within San Diego County, minimal exceptions
