For over 40 years, Dean Mead has been providing exceptional legal services to businesses and individuals across Florida. Dean Mead is seeking a full-time Administrative Assistant, based out of our Viera office.

Duties and Responsibilities:
The Administrative Assistant will work closely with the Office Administrator on a variety of administrative tasks, such as:
- Conducting front office reception duties, including answering and directing phone calls and greeting in-person visitors.
- Completing a wide variety of office services tasks, including scanning, faxing, copying, filing, and processing mail.
- Inventory and order office and hospitality supplies.
- Making external runs on behalf of the firm using personal vehicle (mileage reimbursed).
- Maintaining conference room calendar and availability, ensuring that rooms are equipped with appropriate supplies and coordinating technology needs with the Firm’s Information Technology personnel.
- Making arrangements for catering of office events, including set up and clean up.
- Maintaining kitchens and supply rooms, including inventorying supplies.
- Fielding facilities service requests, including follow up when necessary.
- Other administrative tasks, as assigned by Office Administrator.
Additionally, the Administrative Assistant will support attorneys and other legal departments by:
- Entering attorney time entries and other requests into accounting software.
- Maintaining electronic and physical files and assisting in the closing and opening of matters.
- E-recording legal documents.
- Assisting in real estate pre- and post-closing tasks.

Education and Experience:
- Minimum high school diploma or GED (Required).
- Minimum of 2+ years’ relevant administrative experience (Required), in a legal setting (Preferred).
- Proficient in Microsoft Office Suite and PDF (Required).
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 30 pounds at times.
Work Environment:
- This position reports to work in-person at our Viera office.
