Job Summary
White Bark Property Management is seeking a highly organized, professional, and proactive Property Manager to oversee day-to-day operations across a diverse portfolio of residential and commercial properties in the Kennebunk, Sanford, and Springvale area. Based out of our Kennebunk office, this position requires regular travel to properties throughout the region.
The Property Manager serves as the primary point of contact for tenants, ensuring a high standard of customer service and smooth day-to-day operations. This role is ideal for someone who is detail-oriented, communicative, and capable of balancing administrative responsibilities with field-based property oversight.
Key Responsibilities
Tenant Relations: Serve as the main liaison for all tenant communications, addressing concerns, coordinating maintenance requests, and ensuring tenant satisfaction.
Leasing & Occupancy: Oversee leasing activities including showings, applicant screening, lease signing, move-ins/move-outs, and renewals.
Property Oversight: Conduct regular property visits to assess condition, ensure safety, and verify that standards are upheld.
Maintenance Coordination: Work closely with the Maintenance and Capital Projects Manager to schedule and prioritize work orders, renovations, and emergency repairs.
Rent Collection & Financial Oversight: Monitor rent payments, follow up on delinquencies, and work with ownership on rent increases and budgeting.
Compliance & Documentation: Ensure leases, notices, and communications are compliant with relevant laws and company policies. Maintain accurate records of tenant files, lease violations, and legal actions, including participation in FED eviction proceedings as needed.
Vendor & Contractor Coordination: Manage relationships with vendors and service providers for property-related services such as landscaping, pest control, and cleaning.
Reporting: Provide regular updates to the Chief of Operations and Ownership regarding occupancy, maintenance issues, tenant feedback, and other operational matters.
Emergency Response: Be available for emergency issues as needed, including occasional after-hours calls.
Travel: Regular travel to Sanford and Springvale properties is required (mileage reimbursed).
Qualifications
Prior experience in property management, leasing, or tenant services.
Strong interpersonal and communication skills, with a customer-service mindset.
Excellent organizational and time-management abilities.
Familiarity with local and state landlord-tenant laws (Maine preferred).
Basic knowledge of property maintenance operations and terminology.
Comfortable using property management software, email, spreadsheets, and digital calendars.
Valid drivers license and reliable transportation.
Ability to travel regularly between Kennebunk, Sanford, and Springvale properties.
