Job Duties
The Deputy Clerk (Grade 8) is assigned operational responsibilities in a fast-paced, high-volume office with frequent deadlines. Ensures court instruction is executed, legal documents are prepared accurately and in accordance with appropriate policies and judicial instructions; provides support to the Clerk of Court, Judges, assists the supervisors, daily docket preparations as well as assisting the Judge on the bench.
Essential Duties and Responsibilities:
Handle a wide range of complex clerical and financial tasks including data entry, assessing court costs accurately, accepting and receiving payments, processing court documents, and, when necessary, providing instructions to the public, answering phones, assisting the judge during court, and alphanumeric filing. Be able to process a high volume of traffic, criminal, and civil paperwork to include but not limited to entering a large volume of traffic summonses, warrants, scanning, issuing subpoenas, and processing civil paperwork, to include protective order petitions. Maintains a positive work atmosphere by behaving and communicating in a manner that gets along with customers, clients, co-workers, judges, and supervisors. Researches and provides verbal and written information requested by the public, attorneys, and other government organizations, etc. Must be able to multitask and assume additional duties to accommodate the needs of the clerk's office.
Minimum Qualifications
High school degree or equivalent required. Most competitive applicants will have knowledge of the court system, civil process/criminal justice system, be detail-oriented to include a high degree of accuracy, and have the ability to manage priorities. Must be able to explain procedures in a clear and easy-to-understand manner in person and over the phone. Experience handling money is highly desirable.
A combination of education and experience is required to provide competence in the areas of responsibility. Court, business, or office-related experience in a variety of general office operations and procedures (e.g., data entry, knowledge of personal computers, competence in automated records and financial systems, filing systems, bookkeeping, etc.) is desired.
