Description

The Intake and Data Specialist plays a vital role in ensuring a smooth and welcoming admission process and post discharge, outpatient services for children and families at RiverValley Behavioral Health Hospital. This position is responsible for facilitating client intake, maintaining accurate and complete patient records, scheduling appointments, supporting billing processes, and generating key data reports to assist with program management and planning. The ideal candidate will have strong organizational skills, excellent communication abilities, and a commitment to providing exceptional service to patients and families.

Essential Functions: Greet patients, families, and visitors with professionalism and empathy, ensuring a welcoming experience. Maintain compliance with HIPAA regulations and safeguard patient confidentiality. Facilitate the intake process by obtaining and verifying client demographic, consent to treatment, insurance, and referral information. Assist patients and families in completing all required forms and documentation before services begin. Prepare and maintain patient charts, ensuring accuracy and compliance with legal and regulatory standards. Schedule follow-up appointments and coordinate with clinical and administrative staff to optimize patient care. Ensure all necessary documentation for billing is completed, accurate, and submitted in a timely manner. Generate and maintain daily census reports, ensuring up-to-date tracking of patient admissions, discharges, and outpatient services. Create assigned program-specific reports to support clinical and administrative decision-making. Monitor patient records for completeness and accuracy, identifying and addressing any gaps or errors. Provide regular updates to management on key metrics. Participate in team meetings, providing input on ways to improve the patient intake and data management processes. Ensures compliance with Federal, State, and local regulations and RiverValley's mission policies, procedures and standards. Completes all mandatory compliance, HIPAA and state and federal regulatory training as required. Maintains appropriate degree of confidentiality. Qualifications

Education and Experience:

High school diploma or equivalent required. Associate's degree or higher preferred. Previous experience in healthcare administration, medical records, or customer service required. Experience working in behavioral health, psychiatric services, or pediatrics preferred. Knowledge and Skills:

Strong organizational and multitasking skills with attention to detail. Proficient in Microsoft Office Suite and experience with electronic health record (EHR) systems. Excellent communication and interpersonal skills, with the ability to interact effectively with children, families, and clinical staff. Knowledge of HIPAA regulations and patient confidentiality practices. Ability to work in a fast-paced environment and handle sensitive situations with empathy and professionalism. We offer:
