This position will support the daily operation of Pittsburgh Water by assisting and greeting visitors, guests, and Authority personnel. This position is in office Monday through Friday, 8:00am to 5:00pm.

RESPONSIBILITIES • Act as the first point of contact for the Pittsburgh Water: greeting customers, clients, and visitors with a positive, helpful attitude. • Assist customers with basic customer service information and provide resources for customers who require additional assistance. • Maintain workplace security by following procedures and controlling access including monitoring the logbook and issuing visitor badges. • Manage the sorting and delivery of mail, as well as, receive and sign for deliveries from couriers. • Maintain lobby area by notifying staff of incoming packages. • Answering, forwarding, and screening phone calls to appropriate departments. • Schedule conference calls and meetings. • Manage and assist with a variety of clerical and administrative tasks such as copying, faxing, and taking notes. • Collect and arrange information needed for events, personnel, and external customers. • Prepare meeting and training rooms. • Perform basic filing and recordkeeping. • Provide administrative support to the Executive Leadership Team, as assigned. • Assist Executive Office with Board Meetings or other Executive Meetings, as needed. • Maintain positive and productive working relationships with internal and external customers. • Perform other related tasks as assigned or required.

KNOWLEDGE, SKILLS & ABILITIES • Ability to work well with all levels of internal management and staff, board members and public officials, as well as vendors and customers of all levels. • Experience with MS Office 365 and common office equipment. • Ability to communicate effectively both orally and in writing. • Good organizational skills, detail oriented, and problem-solving ability. • Sensitivity to confidential matters.

EDUCATION / EXPERIENCE REQUIREMENTS The following requirements list the minimum education/training/experience required to qualify for this job. An equivalent combination of education and/or experience may be accepted. • High School Diploma or GED • One (1) year of Receptionist experience in a professional office setting • Previous Customer Service experience preferred

GENERAL REQUIREMENTS Applicant must present a current, valid Class C (Class 1) PA Motor Vehicle Operator's License at the time of application or prior to appointment. A valid driver's license must be maintained throughout employment.

Applicant must have permanent residency within one of the following Pennsylvania counties at the time of appointment and remain a resident within one of the noted counties throughout employment with the Pittsburgh Water: Allegheny, Armstrong, Beaver, Butler, Fayette, Greene, Lawrence, Indiana, Washington, or Westmoreland.

SUPERVISION EXERCISED / RECEIVED No direct reports / Will receive supervision directly from the Special Assistant to the CEO.

CONDITIONS While performing the duties of this job, the employee is regularly exposed to a moderate or quiet noise level in the office work environment.

Subject to remain on duty beyond normal hours and/or recalled during emergency situations or other extensive periods.

MEDICAL EXAMINATION Employment may be contingent upon the results of a post-offer (initial employment or promotion) physical examination performed by the Authority's examining physician.

DRUG TESTING Employment may be contingent upon the results of a post-offer (initial employment or promotion) drug screening. Continued employment may be subject to randomized drug and alcohol testing conducted without advance notice and for reasonable suspicion.

PRE-EMPLOYMENT BACKGROUND INVESTIGATION Ability to successfully pass a thorough investigation consisting of a criminal history check, verification of prior employment and performance, reference, and credentials checks, and in some cases credit history.
