Duties and Responsibilities Essential Job Functions:

Performs a variety of administrative and clerical work related to substandard structures and permits; answers incoming calls and assists walk-in visitors; describes work program guidelines and permits procedures to individuals; calculates and collects fees for residential and commercial permits; issues receipts and balances cash received; reviews, analyzes and researches site plan reviews; interprets procedures for permitting and substandard structures, issues permits and certificate of occupancies; assists citizens in enrolling in work programs; maintains logs of permits and inspections; maintains files; prepares utility disconnect information and allows owners temporary use of utilities; composes and prepares correspondence; prepares council meeting agenda packets; evaluates data and prepares reports; opens and distributes mail; types a variety of materials and reports. Provides backup support for the Permit Clerks during absences or as needed. Other Job Functions:

Working Conditions

This position requires 100% on-site work.

Fast-paced office environment. Must be available to work 8:00 a.m. to 5:00 p.m., Monday through Friday; must be available to work overtime as needed. Minimum Essential Qualifications Knowledge : Thorough knowledge of secretarial practices and procedures; knowledge of business English, ability to accurately explain policies, procedures, laws, regulations, codes and ordinances, records and bookkeeping methods and procedures is highly desirable, spelling, grammar, budgeting 13and arithmetic; thorough knowledge of micro-computer software; thorough knowledge of administrative office procedures; organize and maintain record; read and interpret maps, building sites; can communicate effectively and maintain harmonious relationships with other employees and the general public; knowledge of general municipal operations and organization; knowledge City code and ordinances. Skills/Abilities:

Must exhibit a high degree of responsibility; skill in the use of personal computers, printers, software and other office equipment; must possess excellent interpersonal/public relations skills; ability to manage routine office details and make effective administrative decisions in accordance with established policies and procedures; ability to set up and maintain filing systems; ability to perform multiple tasks in a timely and efficient manner; ability to collect and summarize raw data and prepare concise reports; ability to work quickly and accurately; ability to exhibit initiative and innovations and to work with little supervision; ability to communicate effectively, orally and in writing; ability to exercise discretion in all matters; skill in word processing. Physical Requirements:

Constantly sees and hears, performs data entry, sits and twists body; frequently operates a PC, and calculator, files, sorts, stands, types, walks and writes by hand; infrequently lifts, pushes, pulls, carries and holds objects weighing up to 30 lbs. Education/Experience:

Graduation from high school supplemented by courses/seminars in business of office administration or related field; Minimum three (3) years' experience in secretarial/administrative work or office management. Demonstrated experience MS Word and Excel. Cash management experience preferred.

Other Administrative skill test administered. Applicant selected for hire will be subject to a background investigation and drug/alcohol screen test.
