Requirements

Education: A minimum of a High School Diploma or equivalent is required; bachelor’s degree preferred.

Experience: At least 2 years’ experience in office administration, demonstrating leadership. Familiarity with operational, financial, quality assurance, and human resource procedures and regulations is essential.

Qualifications: Successfully pass criminal records check, fingerprinting, and HCPR check. Must have reliable transportation, maintain appropriate vehicle insurance, and hold a valid driver’s license. Willingness to travel if needed.

Responsibilities & Duties

Administrative

  • Recruit full cycle, follow up with new hires, counsel managers on candidate selection, conduct exit interviews, and recommend improvements.
  • Create, implement, and revise systems and procedures by analyzing practices, recordkeeping, and forms.
  • Resolve administrative issues by preparing reports, analyzing data, and identifying solutions.
  • Coordinate staff equipment issuance with IT, including preventive maintenance.
  • Provide information by responding to questions and requests.
  • Complete operational tasks through administrative projects.
  • Update job descriptions for all positions to maintain work structure.
  • Ensure legal compliance by monitoring HR federal and state requirements, conducting investigations, maintaining records, and representing the organization at hearings.
  • Assist in preparing, updating, and recommending HR policies and procedures.
  • Maintain HR records with a systematic filing and retrieval system.
  • Oversee HR charts for IL employees in compliance with Medicaid and CARF standards.
  • Monitor employee performance, conduct evaluations, manage discipline, and address grievances.
  • Assist in managing employee benefits programs and inform employees about benefits.
  • Develop and implement compliance training programs with the HR team.
  • Report non-compliance and suggest performance improvement plans.

Development & Compliance

  • Support administrative staffing and training coordination.
  • Maintain professional knowledge through workshops, publications, networking, and societies.
  • Prepare employees for assignments via orientation and training programs.
  • Analyze situations, identify problems, and evaluate solutions using established principles.
  • Focus on improving staff quality, systems, and environment.
  • Participate in quality management processes to resolve issues.
  • Provide feedback and performance evaluations for staff.

Communication

  • Work collaboratively to ensure agency compliance.
  • Report critical issues promptly and seek supervisor input.
  • Follow chain of command for problem resolution.
  • Coordinate with support staff and participate actively in team decisions.
  • Provide on-site coverage as needed.
  • Attend meetings, training, and other agency events.
  • Facilitate information flow.
  • Perform other duties as assigned.
