The Executive Assistant provides high-level administrative support to company executives. This position is responsible for managing calendars, coordinating meetings and travel, handling communications, and ensuring smooth operations across the executive's areas of responsibility. The ideal candidate is organized, discreet, and proactive, with the ability to manage multiple priorities in a fast-paced environment. On-Site Requirement:
This is a hybrid position requiring on-site three days per week at either our Maitland or SouthPark Orlando office locations. Responsibilities
Core Administrative Support: Manage executive calendars, including scheduling meetings, appointments, and travel; coordinate logistics for internal and external meetings; screen and prioritize incoming communications; prepare documents, reports, and presentations for meetings and executive briefings; handle complex travel arrangements and process expense reports. Communication & Liaison: Act as the primary liaison between the executive and internal or external stakeholders; draft, review, and send communications on behalf of the executive; facilitate communication between the executive, departments, and leadership teams. Operational & Project Support: Track key tasks, timelines, and deliverables to support project management; assist with preparing leadership reports and data summaries; provide administrative support for HR or finance-related processes (e.g., approvals, onboarding, vendor coordination). Office & Team Support: Onboard new team members or interns supporting the executive's area; manage executive's contact lists and CRM systems; support the executive's team with other general administrative tasks; perform other related duties as assigned by management. Requirements
High school diploma or equivalent required; associate's or bachelor's degree preferred 5+ years of administrative experience supporting executive-level leadership Proficiency in Microsoft Office Suite and Google Workspace Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to handle confidential information with discretion Benefits
