Overview
Admin Support Associate/FT 36 hours per week at Bristol Hospital and Health Care Group, Inc. Performs a wide variety of duties to provide clerical and administrative support to assigned patient care area, including traffic flow, maintenance of patient records, and ensuring proper supply levels for assigned areas. Obtains and routes admitting information, keeps patient roster up to date, assists Charge Nurse in assigning patient rooms, arranges for and occasionally transports patients to units, and communicates extensively with patients, families and other members of the healthcare team. Assist in the effective operation of the unit Perform receptionist, recording, filing and other clerical support duties requiring the use of medical terminology in an assigned patient care area or as a floater Coordinate paperwork, traffic flow and unit activity; pick up and deliver materials and equipment to other units and departments Maintain adequate levels of unit supplies for assigned areas Answer telephone and responder system; take and relay messages Ensure flow of communications by locating individuals Maintain accurate collection of data Check new admissions for complete identification and medical record materials Prepare patient medical records for transfer; follow discharge procedures and obtain required signatures Enter admission, transfer and discharge data into the Patient Information System; ensure timely and complete data entry Accurately update daily charges Maintain patient records by routing materials, scanning relevant documents in real time, regularly reviewing records for current information Gather and organize paperwork for transfers to higher level of care; maintain chart order Provide administrative support to Operations Manager/Physicians; perform clerical tasks as delegated Assist with data collection related to Quality Assurance and unit statistics; support orientation of new employees as directed Support medical staff in obtaining patient and system information Greet and assist visitors, family members, physicians and the public; procure equipment as requested Check and requisition items to ensure adequate supply based on patient needs and Materials Management guidelines Communicate with appropriate departments regarding patient needs Transport patients and/or patient care materials Respond to questions or refer to appropriate resource for resolution Assist patient/family requests for items Assist in lifting and moving patients as needed; operate patient call lights Support unit communication by assigning portable phones to staff Assist in completing patient property records Set up follow-up appointments with patient/family input Qualifications
Education / Minimum Requirements: High school graduate Clerical experience in a healthcare environment preferred Strong working knowledge of Excel Strong knowledge of scheduling Ideal candidate has a PCA, MA or CNA background with Medical Secretarial experience State/Federal mandated licensure or certification requirements: None Bristol Hospital mandated educational requirements: General orientation at time of hire; Fire/Safety/Infection Control annually; other programs as mandated Special requirements: Superior customer service, telephone and interpersonal skills; working knowledge of medical terminology, typing and data entry; PC literacy preferred Physical requirements: Occasional sitting with extended bending, reaching, stooping, and walking/standing; prolonged eye and hand use while operating computers; occasional lifting up to and in excess of fifty pounds; ability to assist in lifting/moving patients Cognitive requirements: Excellent clerical skills; good written and oral communication; literate in English; good organizational skills with the ability to follow multiple steps Disclaimer: The above statements describe the general nature and level of work performed by people assigned to this classification and are not exhaustive.
