As a
Space Planning Specialist
on our New York office facilities team, you'll play a vital role in ensuring a safe, well-maintained, and productive environment for attorneys and staff. In this role, you'll oversee daily operations, service delivery, and space planning while collaborating closely with department leaders, Partners, and the Facilities Services Supervisor.
You'll be responsible for developing and implementing space-planning strategies, coordinating all aspects of pre- and post-move logistics, maintaining accurate seating plans, and delivering clear, timely communications to keep operations running seamlessly. This role is central to optimizing office space, supporting onboarding for incoming classes, and ensuring the highest quality facilities service across the office.
Space Planning & Optimization
- Develop, maintain, and update seating plans; propose and implement reconfigurations to improve workflow and efficiency. Workplace Assessments
- Conduct regular utilization reviews, providing data-driven recommendations to maximize effectiveness of space. Collaboration & Communication
- Partner with department leaders, Partners, and stakeholders to understand requirements, allocate resources, and lead meetings on space usage and upcoming priorities. Move Coordination
- Oversee all aspects of office moves, including planning, scheduling vendors, onsite coordination, and ensuring smooth transitions. Vendor & Partner Management
- Coordinate with external vendors for furniture moves, installations, and related services, ensuring quality delivery. Onboarding Support
- Work with administrative leadership and the Talent team to strategically allocate space and support seamless onboarding of Summer and New Associate classes. Operational Oversight
- Track and document cross-department action items, manage inventory and supply reporting, and ensure timely response to facilities requests. Training & Development
- Train new hires on facilities processes and provide ongoing staff training on new equipment, systems, and procedures. Policy & Process Management
- Collaborate with the Facilities Manager to create and maintain standard operating procedures (SOPs) for facilities operations What You'll Bring
Education
- High school diploma required; college degree preferred (or equivalent work experience considered). Experience
- 8+ years in a facilities-related role, with professional services experience strongly preferred. Must be able to demonstrate in depth expertise in
space planning and move coordination . Leadership & Collaboration
- Proven ability to lead, multitask, and work effectively with stakeholders at all levels. Technical Knowledge
- Proficiency in project management and general building maintenance (HVAC, plumbing, carpentry, electrical, and painting). Problem-Solving & Initiative
- Self-starter with strong organizational skills and the ability to identify, evaluate, and resolve service-related issues. Communication Skills
- Strong interpersonal and written communication skills, with a focus on collaboration and clarity. Physical Requirements
- Ability to climb ladders and lift up to 50 lbs. Technology Skills
- Proficiency with Microsoft Office, EMS, ServiceNow, PlanOn, Visio, and other space management tools and ticketing systems.

Compensation
The base salary range below represents the low and high end of the salary range for this position in New York City. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range:
New York City: $107,000 - $116,750
