This full-time, University Staff (non-classified) position provides high-level program support to the Department of Orthopedics, including Section Chiefs, faculty and staff. The coordinator will manage program coordination across multiple UCHealth sites along the Front Range, communicate and document faculty efforts, and maintain relationships with School of Medicine and affiliate hospital personnel. The role requires travel between multiple site locations and a hybrid work arrangement. Responsibilities include calendar management, document generation, meeting coordination and preparation, presentations, spreadsheets, travel arrangements and reimbursements, medical-legal activities, call schedule management, and academic/clinical scheduling. The position provides cross-coverage for other administrative roles as needed.

Key Responsibilities

Provider Calendar Management: 40% Assists with academic and clinical scheduling for faculty support using Outlook and the Qgenda system. Coordinates meeting space needs on- and off-campus; plans events (venue, catering, guest list) and ensures policy compliance. Manages faculty calendars and meeting coordination with email/MS Outlook, Microsoft Forms, Doodle, Teams, and Zoom. Prepares physicians for meetings and presentations; takes meeting minutes and reports outcomes and next steps.

Special Projects: 10% Collaborates with Operations Program Manager and Regional Manager to implement program needs (faculty recruitment, scheduling, logistics) and assist with projects. Manages projects and process improvements; reports progress and meets deadlines.

Medical Legal/Billing Support: 5% Manages provider licensing, certifications, professional memberships, hospital re-credentialing, CME tracking, CVs and related deadlines. Schedules and bills for medical-legal requests; coordinates professional contract billing.

Administrative Support: 20% Supports recruitment and onboarding for new faculty. Serves as an informational resource for department operations (medical-legal requests, procurement, travel, onboarding). Collaborates with other operations coordinators to ensure adequate operational support.

Travel Reconciliation: 25% Processes procurement, travel arrangements (including international), and reimbursements for providers using Concur and COR360.

Work Location

Hybrid 2 days per week on campus, or at a University-affiliated health clinic, with in-person meetings as needed. Qualifications

Minimum Qualifications A bachelors degree in business, healthcare administration or related field from an accredited institution, or a combination of education and related experience substituted on a year-for-year basis. One year of professional level administrative support experience in a higher education or healthcare setting.

Substitution:

A combination of education and related experience may substitute for the bachelors degree on a year-for-year basis. Preferred Qualifications Two years of professional administrative support experience in higher education or healthcare. Experience managing projects, timelines, and progress reporting. Experience coordinating travel and related purchasing/expense reimbursements in Concur. Experience supporting faculty and staff in a higher education/medical education setting. Experience managing multiple schedules; familiarity with Amion.

Screening and Pay

Screening begins immediately and continues until September 26, 2025. Anticipated pay range: Hiring range $54,383 $69,175. Salary is the Universitys good-faith estimate and may include eligibility for overtime. Total compensation includes leave, health plans, retirement contributions, and other benefits.
