Overview

The Executive Assistant will provide executive-level support to RDVs Chief Operating Officer (COO) and the Director of Talent Services. The role focuses on fostering effective communication, efficient office operations, and creating professional, warm, and engaging interactions with leaders and employees across the organization. This position is ideal for someone who is collaborative, thrives in a fast-paced environment, and is eager to support the organizations business strategies. What You'll Do Provide executive support to the COO and Director of Talent Services with an action-oriented and resourceful approach while optimizing work processes. Proactively identify, suggest, and implement creative and innovative ways to achieve desired outcomes. Develop, implement, and maintain project and meeting management processes; provide project coordination as necessary. Recognize potential problems and inefficiencies, and proactively develop and propose solutions. Handle multiple priorities and deadlines with attention to detail, follow-through, and confidentiality. Schedule meetings for and proactively manage calendars; anticipate needs, watch for conflicts, and assist with time management; keep daily schedule on track. Organize travel arrangements and itineraries for out-of-town meetings; coordinate with other Executive Assistants as needed. Provide research and project support as requested. Manage deadlines and communications related to ongoing projects; keep teams informed of work plans and progress toward goals. Assist with creation of presentation materials and PowerPoint presentations. Serve as a reliable information resource for employees, promptly seeking information and redirecting as appropriate. Assist with activities to enhance employee engagement and appreciation. Prepare meeting rooms for on-site or virtual interviews. Receive and distribute mail; monitor office supply inventory and place orders as needed. Maintain cross-training on recruitment/onboarding responsibilities and confidentiality of Talent Services data. Schedule interviews for Talent Services team members and greet/escort candidates on arrival with a warm welcome and hospitality.

What You'll Bring

Associate degree in business-related field or equivalent experience in an administrative role. Minimum seven (7) years of experience in a professional corporate environment performing business-related duties and providing administrative support (preferred). Proficiency in Microsoft Office Suite. Self-starter with excellent organizational, follow-through, problem-solving, and critical-thinking skills. Calm demeanor with the ability to use sound judgment on when to handle items directly and when to seek input from others. Meticulous eye for detail and a strong commitment to accuracy. Excellent interpersonal and communication skills, both written and oral, with the ability to interface with a diverse array of audiences. Uncompromised commitment to confidentiality and comfort in handling highly sensitive information. Ability to collaborate effectively with individuals from diverse backgrounds and personalities. Demonstrate a high degree of integrity, ethics, and discretion. Ability to be flexible and handle multiple priorities in a fast-paced environment.
