Position Overview

Elderwood at Williamsville is seeking a Human Resource Manager (HRM) to join our team. The ideal candidate is an experienced HR Professional with strong problem solving & communication skills who can quickly learn our HRIS and talent management systems.

The Human Resources Manager supports all business operations by managing the organization's HR administration and execution. Overall, this position is responsible for executing and managing all recruiting, onboarding, offboarding, performance management, payroll, and general HR activities for the site. This position also has a Recruiting Coordinator on-site to help execute critical recruitment functions for the facility.

Responsibilities

The Human Resources Manager supports all business operations by managing the organization's HR administration and execution. Overall, this position is responsible for executing and managing all recruiting, onboarding, offboarding, performance management, payroll, and general HR activities for the site.

Essential Job Functions

Recruitment

  • Responsible for the timely sourcing, interviewing, & onboarding of candidates through the Applicant Tracking System.
  • Maintaining an accurate and timely submission of the weekly open positions report.
  • Participation in marketing the facility through recruitment events held at the facility as well as various organizations and schools, i.e., open interviews & job fairs.
  • Ensure internal posting process is properly managed within the facility, and for employees involved in facility-to-facility transfers.
  • Promote company Employee Referral Program.
  • Accurately track employee referral program and timely payout of referral bonuses.

Onboarding & Training

  • Orient and complete new hire paperwork for all new staff members and ensure that employment regulatory requirements are met; to include reviewing benefit program eligibility, describing benefit plans, and confirming enrollment completion.
  • Schedule new hires for General Orientation and deliver HR training components.

Administrative

  • Obtain all required regulatory documentation for all licensed & certified persons hired at the facility at the time of hire, and annually thereafter, e.g., professional licenses and CPR and other Life Safety certifications. Arrange for training if not certified.
  • Coordinate new hire physicals and obtain required medical documentation for TST.
  • Ensure that all personnel actions are properly documented (location, address, rate of pay and status change, disciplinary actions, and signature receipts).
  • Maintain staff member personnel records in accordance with regulatory agency requirements and HR Policy & Procedure Manual.
  • Initiate probationary and annual performance evaluation process.
  • Administer 30 Day New Hire Surveys & Exit Interviews in accordance with company policy.
  • Complete wage verification forms for Social Service agencies, insurance, and mortgage companies, etc.
  • Order name badges, business cards, and computer access as needed.
  • Process employee terminations timely and maintain staff roster in several databases.
  • Coordinate uniform benefit allowance and fitting, and acquisition of uniforms under the allowance program.

Payroll & Benefit Administration

  • Distribute information on the company’s benefits package to all eligible employees, monitor pending enrollments, and verify completion.
  • Accurate and timely data entry of employee information and ongoing maintenance in ADP HRIS.
  • Review all employee timecards for accuracy and approvals.
  • Run reports from ADP.
  • Assist employees with benefit/payroll inquiries.
  • Interpret personnel policies and communicate benefit program details to staff.
  • Distribute documentation relating to benefits upon staff termination, e.g., Health Insurance, 401K, Life Insurance, Dental Insurance.
  • Coordinate employee activities established by executive staff.
  • Maintain paperwork for leaves of absence, ensure compliance with FMLA, and communicate return-to-work expectations.

Unemployment & Workers Compensation

  • Respond timely to unemployment insurance claims. Report termination data to payroll within one pay period of termination date.
  • Represent the company in UI and WC hearings when necessary.
  • Participate in the facility Safety Committee.
  • Manage claims for unemployment, Worker's Compensation, and disability; maintain OSHA 300 log.

Employee Relations

  • Handle employee concerns and issues; escalate when necessary.
  • Ensure consistent application of policies and procedures, including disciplinary actions.
  • Maintain disciplinary log.
  • Drive recognition and retention programs, e.g., Employee of the Month, birthdays, anniversaries.
  • Support performance management and employee development.
  • Cultivate company culture to support organizational goals and promote employee satisfaction and retention.
  • Plan and execute company events and meetings to encourage team bonding and organizational learning.

General

  • Apply knowledge of policies and procedures; serve as a resource for staff.
  • Oversee HR initiatives, strategies, systems, and tactics.
  • Provide excellent customer service to staff and visitors.
  • Respond flexibly to changing needs, reprioritize work as necessary.
  • Support management with HR counsel, mediation, trainings, and best practices.
  • Develop and enforce company policies and procedural guidelines.
  • Maintain HR systems including LMS, ATS, and HRIS.
  • Arrive on time, work as scheduled, follow dress code, and abide by policies including HIPAA.
  • Support and abide by Pediatric Specialty Care’s Mission, Vision, and Values.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s or Master’s degree in Human Resources, Business, or related field.
  • PHR certification preferred.
  • Minimum of five years HR management experience.
  • Knowledge of labor laws, FMLA, OSHA, COBRA.
  • Experience in recruitment, onboarding, payroll, and benefits.
  • Proficiency in Microsoft Office; highly organized and detail-oriented.
  • Strong communication skills.
  • Ability to prioritize in a fast-paced environment and work autonomously.
