Senior Administrative Assistant

to support the Head of Global Pharmacovigilance. This role sits at the center of departmental activities, requiring strong judgment, discretion, and the ability to engage effectively with stakeholders across the organization. As a key point of contact, you will facilitate communication, manage operations, and contribute to project success in a hybrid work environment. Key Responsibilities

Coordinate and manage complex calendars, scheduling meetings, arranging logistics, preparing materials, and recording minutes as needed. Plan and oversee logistics for offsite meetings, including travel, accommodations, catering, and team-building activities. Arrange domestic and international business travel in compliance with company policy, budget requirements, and traveler preferences. Accurately prepare and process expense reports using Concur. Track, process, and reconcile departmental invoices, ensuring timely and accurate payments. Manage departmental contract requests and track statuses within the contract management system. Maintain departmental files, project trackers, spreadsheets, and contact lists to ensure organization and accessibility. Serve as point of contact for IT-related issues, coordinating timely resolution for GPS team members. Monitor and maintain departmental supplies. Support GPS leadership and team meetings by preparing agendas, ensuring logistics, and following up on deliverables. Regularly update organizational charts and contact lists to ensure accuracy. Required Skills & Experience

Minimum

5 years' administrative experience , preferably in the biotechnology or pharmaceutical industries. Prior experience supporting pharmacovigilance functions is highly desirable. Advanced proficiency with

Microsoft Office Suite, Concur, SharePoint , and other business tools. Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization. Bachelor's degree preferred. Please submit your resume in Word or PDF format to be considered.
