Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel; Receives visitors and deliveries at the reception area. Provides administrative support to Human Resources and other departments as requested.
EDUCATION and/or EXPERIENCE : High school diploma or GED; one year telephone and/or office experience preferred; Proficiency in Microsoft office to include Word and Excel and web-based applications.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.
Answers incoming telephone calls/voice mails, determines purpose of callers, and forwards calls to appropriate personnel or department; Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Answers questions about the agency and provides callers with address, directions, and other general information.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel; Assures visitors sign-in; maintain records of visitor logs.
Maintains front lobby to include ensuring information board and plants are maintained, opens and closes office, ensure windows are closed before leaving.
Receives, sorts, and routes mail, deliveries from UPS, FedEx, AIR/ground and general deliveries to other Agency buildings.
Maintains postage meter; provides reports on usage to business office; requests checks for postage. Delivers mail to the post office as needed, including return receipt requests.
Human Resources tasks include but are not limited to:
-Scans and maintains confidential personnel documents in current HRIS.
-Creates and maintains HR reports for biweekly, monthly, quarterly and annual reporting requirements.
-Tracks job descriptions and other required documents for new hires, promotions and demotions.
-Processes and completes Incident Management request forms for personnel and documentation needed.
Sends faxes, retrieves and routes incoming faxes; assists users as necessary.
Maintains copiers, orders supplies, and calls for service.
Logs incoming money from employees, consumers, and payments received via US Mail; issues receipts.
Assists with monthly fire drills making appropriate notifications and providing documentation, as requested.
Orders, receives, and maintains general office and kitchen supplies for the Bancroft building and other locations as necessary.
Performs other administrative duties as needed, such as scanning, typing, filing, photocopying, collating, stuffing envelopes for all departments as necessary, once approved by supervisor.
Maintains confidentiality of all persons served and contributes to the improvement of agency operations.
Acts in accordance with all policies, procedures, and the Agency Corporate Compliance Policy. Reports suspected or actual violations thereof to the appropriate party(s).
Maintains professional decorum at all times.
CLEARANCE/CREDENTIALING CHECKS : Clearance for all mandatory credentialing as outlined by OPWDD and the Justice Center which will include but is not limited to; Staff Exclusion, MHL and Abuse/Neglect History
REQUIRED SKILLS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Mathematical Skills:
Ability to add, subtract and multiply. Ability to perform operations using American money and weight measurement, volume and distance.
Technical Skills:
Proficient in Microsoft Word and Excel, basic capabilities in web-based applications. Detailed oriented and highly organized.
